Use our Template Account feature to easily share Assets between accounts. Once your template account is set up, site administrators have the ability to save & manage email templates that are shared to child accounts (subaccounts).
Email templates in the "Complete" status, saved to the template account, are available to all account administrators across all accounts when they create a new campaign. But what if you need to make updates to a template that has already been shared? The process is just the same as in-account template updates.
Before you begin, if you have not done so already, create your email template. The email template can be created in any account that you manage, or in the designated template account.
How-To
Save a new email template to a template account
In the last step of the creation process you will determine if the email template is saved to the current account, or the template account.
- Change the status of the email template to complete. This is done in the Complete step of the email template workflow. Select the "Complete" radio button.
-
The ability to change status will not be available until the email template has been tested at least one time to an email address.
- Overwrite files that exist with same name (checkbox): This is a version control setting to push content updates to the existing file with the same name that may be saved to the current account, template account, or used in an existing template or draft campaign.
- New file name: This is the name of the file that will be seen in libraries. If you've updated an existing, completed email template and you want to overwrite the existing file, keep the name the same. If you want to create a new file, use a new name. Using a new name will create a different file, keeping an original intact.
- Destination account: This determines where the file should be saved & made available to users. Options are current account or template account.
-
Destination folder: This determines if the file will be organized into a folder. Folders are not required.
-
The ability to change status will not be available until the email template has been tested at least one time to an email address.
- Provide a file name.
- For "Destination Account", choose "Template Account" from the drop-down.
- Click the "Save and Exit" button.
Update an email template saved to a template account
- Navigate to Assets, then Email Templates to open the email template file to be updated. Use the drag-and-drop editor to make any changes to the design, then continue through the preview & testing steps.
- In the Complete step, select the radio button "Complete" to change the snippet status.
- Mark the checkbox to "Overwrite files that exist with the same name". This will automatically populate the New File Name box and gray it out so that it cannot be edited.
- For "Destination Account", choose "Template Account" from the drop-down.
- Click the "Save and Exit" button.
Tip
Review your completed templates regularly to make sure only the most up to date version are shared to your child accounts.
