DESCRIPTION:
Site admins can edit roles and permissions for their account administrators. Before you begin making different permission sets to assign out to your team, make sure you know what each permission means in the software.
We will break down each permission by its category.
Note: If you do not have a feature enabled at the account level, adding that permission to a role will not have an impact on the account.
Note: Administrators MUST have View Access to dashboards where they also have Edit access or they will not be able to see those dashboards.
When creating your different roles remember that you will want to include a combination of many of the permissions below. Account administrators can be assigned multiple different roles at once.
CONTACTS:
Contact permissions will mainly impact the Contacts dashboard.
- View Contacts, Import History: Allows access to the Contacts module including Contacts and the Import History pages. View only - does not include edit rights.
You must have this permission enabled for users to see the Email Contacts Dashboard and Import History. - Add, Copy: Allows the user to add or copy specific subscriber records but not edit existing.
- Edit, Delete, Unsubscribe: Allows user to edit subscriber's demographic and subscription status information. Allows user to delete contacts IF that feature is enabled on the account.
- Import Contacts: Allows user access and ability to import a CSV of new or updated contact records.
- Export Contacts: Allows user to export contacts to a CSV.
- Manage Bans: Allows user to view and add to account Bans.
You must have this permission enabled for users to see the Manage Bans page. This requires a manage bans feature to be enabled at your account level. - Remove Contacts: Allows user to delete contacts via CSV import IF that feature is enabled on the account.
You must have this permission enabled for users to see the Remove Contacts page.
CONTACTS (SMS): (Requires SMS enabled on the account)
Contacts (SMS) permissions will mainly impact the Contacts dashboard.
- View Contacts: Allows user to view (but not change) SMS subscribers.
You must have this permission enabled for users to see the SMS contacts toggle and page. - Edit, Delete, Unsubscribe: Allows users to edit demographic information for, delete, or change the status for a SMS subscriber. Please note that admins cannot add SMS subscribers with any permission—all SMS subscribers must subscribe via their phone.
- Add: Allows user to manually add new SMS contacts to your subscriber list.
- Import Contacts: Allows user access and ability to import a CSV of new or updated SMS contact records.
CONTENT:
Content permissions will impact the Assets, Account Management, and Campaigns dashboards.
- View, Preview, Test: Allows user to simply view email templates, preview templates (using the hover Edit menu), and test content to themselves or other named admins.
Users need this permission enabled to view the Assets dashboard. - Add, Copy: Allows users to create a new draft email template or copy email templates.
- Edit, Rename, Delete: Allows users to edit the design, name, or simply delete any type of email template. Also allows users to edit Step 2: Design in the Create a Campaign Workflow. Most users working with the Create a Campaign Workflow will need this permission.
- Manage Brand Colors: Allows user to create and edit brand colors settings under Settings > Account Management > Brand Colors. Also allows user to restrict available colors in an email design to ONLY named brand colors. Users can also copy brand colors to other accounts if applicable. Available on Professional or Enterprise Licenses.
- View Templates: Allows user to see completed templates but not edit them.
- Manage Templates: Allows user to "complete" draft templates and to edit new version of completed templates. Most users working with the Create a Campaign Workflow will need this permission.
- Purchase Email Rendering Credits: Allows users to purchase additional credits for the Email Rendering Integration directly in the app. The Email Rendering Integration must be enabled for your account for this permission to take effect.
- Lock/Unlock Editor Cells: Allows user to set up locked content in the email design or templates and unlock previously locked design. Available on Professional or Enterprise Licenses.
- Change HTML in Editors: Allows user to access and modify the code of the email under CODE in the drag-and-drop editor. Should not be given to novice email designers unless necessary.
- View Media: Allows user to see what is saved in the Media Library on the Assets dashboard but does not include permission to change or edit media.
Users must have this permission enabled to see the Media Library. - Manage Media: Allows users to upload and delete files stored in the Media Library. Users must also have the View Media permission enabled.
- View Snippets: Allows user to see what is saved in the Snippets page on the Assets dashboard but does not include permission to change or edit snippets.
Users must have this permission enabled to see the Snippets page. Available on Professional or Enterprise Licenses. - Add, Copy Snippets: Allows users to add new or copy existing snippets for use in email design. Does not include permission to edit these snippets. Available on Professional or Enterprise Licenses.
- Edit, Rename, Delete Snippets: Allows users to edit and rename existing snippets and delete snippets from the Assets dashboard. Available on Professional or Enterprise Licenses.
- View Stylesheets: Allows users to view but not manage Stylesheets in the Assets Dashboard.
Users must have this permission to use Stylesheets. - Add, Upload, Copy Stylesheets: Allows users to add new, upload outside, and copy existing stylesheets but not edit existing stylesheets.
- Edit, Rename, Delete Stylesheets: Allows users to edit and delete existing stylesheets.
- Manage Landing Pages: Allows user to view, add, edit, and delete Landing Pages from the Assets Dashboard. Available on Enterprise Licenses.
SEGMENTS:
Segments permissions will impact the Contacts dashboard.
- View, Test: Allows user to view and test (and export tests) of segments but not to make edits. This permission includes both segments and categories.
You must have this permission enabled for users to see the Segments page. - Add, Copy: Allows user to create new segments and copy existing segments for editing. This permission includes both segments and categories. Users will need this permission to add new segments (instead of using existing) in the Create a Campaign Workflow.
- Edit, Delete: Allows user to edit existing segments and delete segments that are no longer needed. This permission includes both segments and categories.
MAILINGS:
Mailings permissions will impact the Campaigns dashboard.
- View, Preview, Test, Spam Analysis: Allows users to view Campaigns and use steps 5 and 6 of the Create a Campaign Workflow to test campaigns and add optional spam analysis. Users who use the Create a Campaign Workflow will need this permission.
You must have this permission enabled for users to see the Suppression List page (Contacts). - Add, Copy, Clone: Allows users to Create a Campaign, create a copy an existing Campaign, or Clone a Campaign that has already delivered. This does not include edit privileges. Users who use the Create a Campaign Workflow will need this permission.
- Edit: Allows users to edit draft campaigns. Users who use the Create a Campaign Workflow will need this permission.
- Send, Schedule, Unschedule: Allows users to schedule or unschedule campaigns to deploy using Step 6 of the Create a Campaign Workflow. Users who use the Create a Campaign Workflow will typically need this permission. (Users without this permission will still see Step 6 if they have access to add social media, lead scoring, etc even though they will not be able to schedule).
- Delete Mailings: Allows users to delete draft Campaigns.
AUTOMATION:
Automation permissions will impact the Automations dashboard.
- View: Allows users to view existing automation campaigns and workflows.
Users must have this permission enabled to see the Automations dashboard. Available on Professional or Enterprise Licenses. - Manage Drip Campaigns: Allows users to create and edit automation workflows including scheduling. Ensure your admins with this permission also have those under the "Mailings" section enabled for full automation functionality. Available on Professional or Enterprise Licenses.
- Manage Templates: Allows users to save automations as templates, save to other accounts if applicable access to those accounts, and see the account templates when creating a new automation. Available on Professional or Enterprise Licenses.
REPORTS:
Reports permissions will impact the Analytics dashboard.
- Mailing Reports: Allows user to see and access Campaign reports.
- Contact Reports: Allows user to see and access Campaign reports.
- Purchase Reports: Allows user to see and access Clickstream and Commerce Purchase Tracking reports under Analytics > Campaigns. Requires clickstream or commerce integrations.
- SMS Reports: Allows users to see and access SMS Reports under Analytics > Campaigns.
- Billing Reports: Allows users to see and access volume and usage billing reports under Analytics > Campaigns and on the homepage.
- Manage Report Groups: Allows users to add, edit existing, and delete Report Groups for the account level under Analytics > Report Groups. All users with Mailing access can add campaigns to Report Groups.
- Custom Report Builder: Allows user to access, create, save, and edit custom reports built in Analytics.
SETTINGS:
Settings permissions will impact the Account Management, User Management, Contacts, and Assets dashboards.
- View: Allows users to view Account Management, User Management and Integrations if applicable to your account. This does not include edit permissions but does need to be enabled for anyone editing account and user settings.
- General Account Settings: Allows users to update General Account Settings including logo images, system alerts, time zones, engagement scores, and more.
- Advanced Engagement Scoring: Allows users to modify Advanced Engagement Scoring clauses or add new points to individual campaigns.
- Lead Scoring: Allows users to view and edit Lead Score settings for the account and specific campaigns. Lead Scoring is accessed on the Contacts dashboard under Configuration. Available on Enterprise Licenses.
- Footers: Allows users to view, add, and edit footers for the account.
- Custom Fields: Allows users to add new and edit existing Custom Field names for use on contact records, in reports, segments, and merge tags (will retain database name). This feature can be accessed on the Contacts Dashboard under Configuration.
- Custom Tables: Allows user to create, add to, and delete custom tables on the account and share custom tables to other accounts they can access. Find this feature on the Contacts Dashboard under Configuration. Available on Enterprise Licenses.
- Sender Addresses: Allows user to add, edit, or delete account level sender addresses under Account Management.
- Test Recipient Lists: Allows user to create a new test recipient list from the Create a Campaign Workflow (Step 5: Test) or Account Management. All users can utilize the test recipient lists.
- Reply Filters: Allows user to create or edit new reply filters if reply filtering is enabled for the account (paid feature).
- My App Connections: Allows user to see and manage set up for the Settings > Integrations page which includes free (social media) integrations and paid (ex. Salesforce) integrations.
- Forms: Allows user to create, edit, and delete unsubscribe, preference center, and subscribe forms for the account as well as copy forms to other accounts they have access to. Forms can be found under the Assets Dashboard.
- Text Messaging: Allows users to create or edit the automated responses (default responses) for your SMS campaigns including welcome messages and error messages. This can be found under Contacts > Configuration > SMS Toggle > Text Messaging.
- Web Access Log: Allows users to view the Web Access Log to see other updates, changes, and movements made by all account administrators in the account.
- Account Administrators: Allows users to view, edit, create, and delete account administrator record. However, this does not allow users to assign roles and permissions. Only site administrators retain that right.
